1. Data protection at a glance
General information
The following information provides a simple overview of what happens to your personal data when you visit this website. Personal data is any data that can be used to identify you personally.
Data collection on this website
Who is responsible for data collection on this website?
Data processing on this website is carried out by the website operator:
Dr Oliver Tackenberg
Osterfelder Str. 180, 46242 Bottrop, Germany
Email: info@orchardcast.com
How do we collect your data?
Some data is collected when you provide it to us (e.g. by entering your email address in the sign-up form). Other data is collected automatically by our hosting provider’s IT systems when you visit the website (e.g. web browser, operating system or time of access).
What do we use your data for?
Some of the data is collected to ensure that the website is provided correctly and securely. We use your email address exclusively to send you the Harvest Outlook with your consent and to answer your enquiries.
No tracking or analytics services
We do not use any analytics, tracking or advertising services and do not embed any content from third-party providers (e.g. Google Fonts, CDNs, social media plug-ins). Fonts and icons are loaded directly from our own web server.
2. Hosting
ALL-INKL
Our website is hosted by:
ALL-INKL.COM - Neue Medien Münnich, owner René Münnich, Hauptstraße 68, 02742 Friedersdorf, Germany (server location: Germany).
When you visit our website, ALL-INKL records various log files, including your IP address. The data submitted via the sign-up form is also processed by our web server at ALL-INKL and forwarded to Brevo (see section 5); our other emails are stored and processed on ALL-INKL servers in Germany. ALL-INKL is used on the basis of Art. 6(1)(f) GDPR (legitimate interest in stable and secure operation).
Data processing agreement:
We have concluded a data processing agreement with ALL-INKL pursuant to Art. 28 GDPR.

Storage period
Unless a more specific storage period is stated in this privacy policy, your data will remain with us until the purpose of processing no longer applies or you withdraw your consent. Statutory retention obligations remain unaffected.
Withdrawal of your consent (Art. 7(3) GDPR)
Many data processing operations are only possible with your express consent. You can withdraw consent you have already given at any time, informally and with effect for the future, e.g. by email to info@orchardcast.com. The lawfulness of the processing carried out before the withdrawal remains unaffected.
Your rights as a data subject (Art. 15–21 GDPR)
You have the right at any time to obtain information about your stored personal data, to have it rectified or erased, or to have its processing restricted, as well as the right to data portability. Where processing is based on Art. 6(1)(f) GDPR, you may object to it at any time on grounds relating to your particular situation (Art. 21 GDPR).
Right to lodge a complaint with a supervisory authority (Art. 77 GDPR)
Without prejudice to any other remedy, you have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is:
Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (LDI NRW) – the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia
Kavalleriestraße 2–4, 40213 Düsseldorf, Germany | https://www.ldi.nrw.de
SSL/TLS encryption
For security reasons, this website uses SSL/TLS encryption (HTTPS). Data you transmit to us therefore cannot be read by third parties.
4. Data collection on this website
Server log files
The provider automatically collects and stores information in server log files that your browser transmits to us automatically (browser type and version, operating system, referrer URL, host name of the accessing computer, time of the server request, IP address). This data is not merged with other data sources. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in the technically error-free and secure provision of the website.
Technically necessary cookie
This website sets a single, technically necessary session cookie (grav-site-…). It protects the sign-up form against misuse (security token), remembers the language you have chosen during your visit and expires automatically after 30 minutes of inactivity. The legal basis is Section 25(2) no. 2 TDDDG (German Telecommunications Digital Services Data Protection Act) in conjunction with Art. 6(1)(f) GDPR. Consent is not required for this.
Signing up for the Harvest Outlook
When you sign up for the Harvest Outlook using the form, we process the following data:
- your email address (mandatory),
- the language version of the form used and the version of the consent text,
- the time and IP address of your confirmation (see double opt-in in section 5).
Purpose: Sending you the free Harvest Outlook and information about the launch of OrchardCast, and documenting your consent.
Legal basis: Your consent pursuant to Art. 6(1)(a) GDPR; for documenting your consent, our legitimate interest pursuant to Art. 6(1)(f) GDPR.
Procedure: After you submit the form, our web server forwards your details to our email service provider Brevo, which sends you an email containing a confirmation link (double opt-in, see section 5).
Protection against misuse: To prevent the form from being used to sign up other people's addresses in bulk, our web server accepts no more than five sign-up attempts per IP address per hour. For this purpose it stores a value calculated from your IP address (a hash) together with a counter; the entry expires one hour after the last attempt and is no longer used after that. Your IP address itself is not stored for this purpose. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in preventing misuse).
Storage period: If you do not confirm your sign-up, your address will not be added to our mailing list. Once you have confirmed, we store your data until you withdraw your consent or ask us to delete it. We will then delete your address; to be able to prove consent given previously, we may keep it on a blocklist for up to three years.
Recipients: Brevo as processor (see section 5) and our hosting provider ALL-INKL. Your data is not passed on to any other third parties.
Providing your email address is voluntary; without it, however, we cannot send you the Harvest Outlook.
Enquiries by email
If you contact us by email, we store your enquiry together with the data provided for the purpose of handling it. The legal basis is Art. 6(1)(b) GDPR if your enquiry is related to a contract or pre-contractual measures, and otherwise Art. 6(1)(f) GDPR (legitimate interest in answering enquiries).
5. Newsletter (Harvest Outlook)
Confirmation of your sign-up (double opt-in)
After submitting the form, you will receive an email containing a confirmation link. Your email address will only be added to our mailing list once you have clicked this link. This ensures that nobody can sign up other people’s email addresses. To document your consent, the time and IP address of your confirmation are stored (Art. 6(1)(f) GDPR).
Email service provider
We use Brevo (Brevo, 17 rue de Salneuve, 75017 Paris, France) to send the confirmation email and the Harvest Outlook. Brevo stores your email address, your chosen language and the details of your consent on servers in the EU and uses them exclusively on our behalf. We have concluded a data processing agreement with Brevo pursuant to Art. 28 GDPR. Further information can be found in Brevo’s privacy policy.
Anonymised tracking of opens and clicks
For technical reasons, Brevo records whether an email is opened and whether links in it are clicked (using an invisible tracking pixel and by routing links through Brevo’s servers). In our Brevo account, this tracking is set to “anonymised”: Brevo does not link opens and clicks to your email address or IP address, but only counts them in aggregate. We do not analyse whether or when you personally open the Harvest Outlook or which links you click in it. If you switch off the loading of images in your email program, the tracking pixel is not loaded either. The legal basis is our legitimate interest in secure and reliable delivery (Art. 6(1)(f) GDPR).
Withdrawal & unsubscribing
You can withdraw your consent to receiving the Harvest Outlook at any time. You can unsubscribe via the link in each issue or by sending an informal message to info@orchardcast.com.
6. External links
Our website contains links to external websites (e.g. Copernicus, ECMWF, Google Scholar). No data is transmitted to these providers when you merely visit our website. Only when you click on a link do the privacy policies of the respective provider apply.
